This project focused on building a fully automated AI outbound calling system powered by VAPI AI, Google Sheets, and Make.com. The goal was to eliminate manual dialing while keeping every call tracked and organized in one central place. The client had all lead data stored in Google Sheets and wanted a system that could: - Automatically pull lead details from Google Sheets - Trigger outbound AI calls using VAPI AI - Handle conversations through an AI voice agent - Capture call status and response data - Log all outcomes back into the same Google Sheet 𝐇𝐎𝐖 𝐓𝐇𝐄 𝐒𝐘𝐒𝐓𝐄𝐌 𝐖𝐎𝐑𝐊𝐒: - Lead Detection: The automation monitors Google Sheets for available leads. - Data Preparation: Lead details (name, phone, context) are structured for safe call execution. - Outbound Call Execution: VAPI AI places the call and runs the conversation using predefined AI logic. - Response Capture: After the call, the system collects call status, summaries, and outcome metadata. - Automatic Logging: Results are written back into Google Sheets in real time. 𝐖𝐇𝐀𝐓 𝐓𝐇𝐈𝐒 𝐒𝐎𝐋𝐕𝐄𝐃:: - No more manual dialing - No switching between tools - No forgetting to log call notes - No disconnected reporting Google Sheets becomes both the lead source and performance dashboard, giving the client full visibility into call outcomes without additional software.
