Specialized in connecting Jobber with Airtable production trackers via Zapier to build end-to-end automated workflows from quote approval through crew scheduling to eliminating manual data entry and giving project managers full real-time visibility across all active jobs. What I Did: - Jobber-to-Airtable integration — built Zapier automation that instantly creates or updates Airtable records when a quote is approved in Jobber, using Quote ID as the unique matching identifier to prevent duplicates - Airtable production tracker — designed a 9-stage pipeline with 18 custom fields covering all key project data from deposit tracking to crew assignment and material budgets Filtered management views — created 6 purpose-built views (Waiting on Me, Waiting on Customer, Needs Material Order, Ready for Crew, Ready to Schedule, Upcoming Schedule) so each team member sees only what requires their immediate action - FIFO prioritization — configured automatic sorting by Deposit Date first, then Quote Approved Date, ensuring jobs are always processed in the correct order - Subcontractor shared views generated secure individual Airtable shared links per crew showing only limited fields with zero access to financials or other crews' jobs Payment tracking — added "Mark as Paid" status and transaction note field per subcontractor record for logging crew payments directly inside Airtable Technical Work: Zapier multi-step zap (Jobber Quote Approved → Airtable Create/Update using Quote ID) Airtable base with relational fields, formula columns, and conditional record coloring Filtered views with locked field visibility and secure shared links per crew FIFO sort using Deposit Date and Quote Approved Date as primary and secondary fields Results: Eliminated all manual project entry, reduced scheduling delays, and delivered full job visibility from quote approval to crew assignment.
