Scope of Monthly Bookkeeping Responsibilities Revenue Tracking & Merchant Settlement Reconciliation: Reconciling multi-channel booking revenue (direct website bookings, Airbnb, and other OTAs) against payment gateway payouts (Stripe, PayPal, credit cards). Categorizing revenue streams including nightly rental fees, guest service charges, private chef and add-on hospitality services, and management commissions. Owner Payouts & Commission Accounting: Managing property owner trust account transactions and calculating property management commission splits. Tracking owner distributions, cleaning/turnover fee deductions, and reimbursable maintenance expenses across individual villa accounts. Expense Categorization & Operational Costs: Recording and categorizing recurring operational expenditures, including local property management team costs, housekeeping, marketing/SEO expenditures, website maintenance, platform software fees, and utilities across properties (Drax Hall, Tower Isle, Richmond Estate, Discovery Bay, etc.). Allocating and tracking guest-funded expenses (e.g., chef service groceries and custom experience add-ons). Bank & Credit Card Reconciliation: Performing month-end reconciliations for all business bank accounts, payment processing feeds, and credit card accounts to ensure 100% accuracy and clean financial ledgers. Month-End Close & Financial Reporting: Preparing monthly financial statements (Profit & Loss Statement, Balance Sheet, Cash Flow Summary) to assist ownership with performance monitoring, occupancy margins, and financial decision-making.
